AI Policy & Declaration of generative AI

AI Policy

Edumaspul: Jurnal Pendidikan

1. Scope and Purpose

This policy governs the use of artificial intelligence (AI) tools and technologies in the research, writing, peer review, and editorial processes of manuscripts submitted to Edumaspul: Jurnal Pendidikan. The policy is intended to uphold academic integrity, promote transparency, and ensure ethical scholarly communication.

As AI technologies continue to evolve and become more widely used in academic practice, Edumaspul: Jurnal Pendidikan requires that their use remain responsible, transparent, and subject to meaningful human oversight. Authors, reviewers, and editors remain fully accountable for the integrity, accuracy, confidentiality, and ethical acceptability of their work.

This policy may be revised periodically to reflect developments in AI technologies and emerging standards in academic publishing.

2. Guidelines for Authors

2.1 Use of AI in Research

Authors may use AI tools for research-related purposes, such as data analysis, simulation, coding assistance, or other analytical tasks, provided that such use is clearly disclosed in the manuscript, especially in the methodology or other relevant sections.

Authors must explain the role of the AI tool, including its name, function, and relevance to the study. Where applicable, authors should also acknowledge the limitations, assumptions, and potential biases of the tool in order to support transparency, rigor, and reproducibility.

2.2 Use of AI in Writing

Authors may use generative AI and AI-assisted tools only to support the writing process, such as improving readability, language, grammar, or organization. However, AI tools must not replace the authors’ own intellectual contribution, interpretation, analysis, or scholarly judgment.

Any substantive use of generative AI in drafting or revising the manuscript must be disclosed at the time of submission. Authors must carefully review, verify, and edit all AI-assisted output, since AI-generated content may be inaccurate, incomplete, misleading, or biased. Authors remain fully responsible for the entire content of the manuscript.

2.3 Authorship and Accountability

AI tools or AI-assisted technologies cannot be listed as authors or co-authors under any circumstances. Authorship is reserved exclusively for human individuals who have made substantial intellectual contributions to the work.

All authors are accountable for the accuracy, originality, and integrity of the manuscript, including any portion that has been assisted by AI tools.

2.4 Ethical Use of AI

Authors must ensure that the use of AI does not violate research ethics, publication ethics, data privacy requirements, informed consent obligations, copyright rules, or applicable institutional regulations.

AI tools must not be used to fabricate, falsify, manipulate, or misrepresent data, sources, citations, findings, or interpretations. Any such misuse will be treated as research or publication misconduct.

2.5 Disclosure Statement for Generative AI in Writing

If authors use generative AI or AI-assisted technologies in the writing process, they must include a declaration in the manuscript at the time of first submission. This declaration should appear in a separate section before the references list under the heading:

Declaration of Generative AI and AI-Assisted Technologies in the Writing Process

The statement may follow this format:

During the preparation of this work, the author(s) used [NAME OF TOOL/SERVICE] for [PURPOSE]. After using this tool/service, the author(s) reviewed and edited the content as needed and take full responsibility for the content of the published article.

This disclosure requirement applies to substantive generative AI use in writing. It does not apply to basic tools used only for spelling, grammar, or reference checking, provided that such tools do not generate or meaningfully reshape the intellectual content of the manuscript.

3. Guidelines for Reviewers

The peer review process at Edumaspul: Jurnal Pendidikan must remain strictly human-led, confidential, and independent.

Reviewers must not upload, input, or process any part of a submitted manuscript through generative AI tools or AI-assisted platforms, including systems such as ChatGPT or similar services, during the peer review process. This restriction is necessary to protect author confidentiality, intellectual property, and the integrity of the review process.

Reviewers are expected to rely on their own scholarly expertise and judgment in evaluating manuscripts. Basic non-generative tools, such as spelling or grammar checkers, may be used only if they do not compromise confidentiality and do not substitute for the reviewer’s critical evaluation.

4. Guidelines for Editors

Editors may use appropriate digital tools to support administrative or technical aspects of editorial work, such as plagiarism detection, workflow management, or limited language checking, provided that these tools do not compromise confidentiality or replace editorial judgment.

However, editors must not use generative AI or AI-assisted technologies to evaluate manuscripts, make editorial judgments, generate peer review decisions, or process confidential manuscript content through external generative systems. Decisions regarding manuscript acceptance, revision, or rejection remain solely the responsibility of human editors.

5. Transparency and Disclosure

Where disclosure is required under this policy, authors must clearly identify:

  • the name of the AI tool or service used;
  • the purpose for which it was used; and
  • the extent to which it contributed to the research or writing process.

Failure to disclose significant AI use, where disclosure is required, may be treated as a breach of publication ethics and may result in editorial action, including rejection of the manuscript, correction, retraction, or other appropriate measures.

6. Integrity and Accountability

Edumaspul: Jurnal Pendidikan reserves the right to:

  • request clarification, documentation, or evidence regarding the use of AI tools in any submitted manuscript;
  • investigate suspected undisclosed or unethical use of AI;
  • take appropriate editorial action in cases of AI-related misconduct; and
  • correct or retract published articles if misuse or misrepresentation of AI is discovered after publication.
7. Continuous Review of the Policy

This policy will be reviewed and updated periodically in response to developments in AI technologies, scholarly publishing standards, and best practices in research and publication ethics.
